Company-wide transparency for projects
In 2016, the company decided to map its projects across departments with one tool. Rainer Friedensohn, who as Director IT & QMS is responsible for the IT systems, among other things, describes the situation at that time as follows: “At that time, projects were mapped in the company with various tools – from Excel spreadsheets to MS Project and whiteboards. The aim was to achieve transparency for all projects, initiatives and plans”.
Since Thieme Compliance had already used Jira and Confluence in individual departments before, they decided to also implement project portfolio management (PPM) and demand management with the Atlassian tools. In addition, the marketplace app “BigPicture Enterprise” (SoftwarePlant) was introduced, as it, as the name suggests, makes the “big picture” of all projects within the company visible. In addition to providing a central overview of all projects, the tools should also be used to manage resources, to display dependencies – both within projects and across projects – and to link portfolio projects to corporate goals.
From workflow modelling to project documentation with Atlassian tools
In a first workshop with catworkx, the foundations for the introduction of the new PPM system were laid. For example, criteria were defined to determine which of the 150 or so projects at the time were projects at all and which could be classified as routine tasks. The latter do not require representation in PPM.
Subsequently, workflows were modelled with Jira software, which define the workflow from the inquiry to the execution of projects. Confluence is used for project documentation. The templates support the standardization and automation of the documentation.
Dependencies and resources at a glance with Jira Software, Jira Core and BigPicture
The successful introduction of the Atlassian tools for project portfolio management at Thieme Compliance led to the fact that projects are now centralized in one place for each department and team. In this way, the dependencies between the projects are also made visible. Here, the Marketplace App supports “BigPicture Enterprise” with its Gantt charts, synchronization with Jira and the clear display of dependencies and resources.
The company-wide introduction of Jira Software and Confluence also helped to promote a cultural change in the company towards a project organization. And last but not least, the number of tools used could be reduced and costs saved.
